Contacts

Open Contacts in the bar on the left of webmail.

Your organization's contact list

Everyone with an active mailbox in your organization is in its contact list, without anyone adding them: a new mailbox is in it at once, and a removed or suspended one leaves it. It is what webmail suggests as you type an address, and contacts apps show it as a read-only directory.

Team address books

A tenant can turn team address books and the directory off under Features and sharing; see the tenant manager.

Your team can own address books, such as Suppliers or Customers, that everyone on the team sees: in webmail's Contacts (marked (team)), in contacts apps over CardDAV, and in the team's JMAP account (teamAccountId in the webmail session). They stay when the person who made them leaves.

Photos

Add photo on a contact takes a picture from your computer, cropped to a square and made small (256 pixels) so it fits in the contact. The photo shows next to the contact and as the sender's picture in your message list, ahead of a company's verified logo (BIMI). Remove takes it off. Contacts apps sync photos both ways over CardDAV. Only JPEG, PNG, GIF and WebP photos kept in the contact are shown; photos that are links to other sites are not loaded.

Groups

New group makes a group: a name and the contacts in it (tick them in the list; the search box narrows it). Type the group's name in To, Cc or Bcc and pick it to add everyone in it at once, each with their first email address. Deleting a group keeps the people in it.

Groups sync with contacts apps over CardDAV. They are written the way Apple's Contacts writes them (X-ADDRESSBOOKSERVER-KIND:group), with KIND:group and MEMBER for others, and either form is read.

Importing contacts

Import in Contacts brings in contacts from another service or app:

  1. Export them there as a vCard file (.vcf) or a CSV file. Gmail (Google Contacts → Export → Google CSV or vCard), Outlook (People → Manage contacts → Export) and Apple Contacts (File → Export → Export vCard) all work, and so does any CSV with name and email columns.
  2. Choose the file and the address book to put them in. You see how many will be added, how many you have already and which cannot be read, before anything is saved.
  3. Choose Import.

A contact whose email address is already in your contacts (or earlier in the file) is skipped, never changed, so importing the same file twice adds nothing. Names, email addresses, phone numbers, organization, job title and notes come across from CSV; a vCard keeps everything it has, photos and groups included. At most 5,000 contacts and 8 MB a file; split a bigger one. Contacts go only into your own address books.

Address completion

When you type in To, Cc or Bcc, matching contacts appear under the field after two letters. Use the arrow keys and Enter (or Tab), or click, to pick one; the address goes in as "Name" <address>, ready for the next.

Mail apps and the API

Contacts are stored with JMAP for Contacts (RFC 9610) as JSContact cards (RFC 9553): AddressBook/get and ContactCard/get, /query (filters inAddressBook, text, email) and /set. A contact is in exactly one address book; cards are kept as sent, up to 256 KB each and 50,000 per account. A photo is the card's media of kind photo; a group has kind: "group" and members. Updates replace whole top-level properties (no deeper patches yet). Contacts apps sync over CardDAV, with a read-only team directory: see Calendar and contacts apps.
